Absence Call in Procedure


As a new user to the ATMS system you must enter yourself. Please see Ms. Petty to do this. You will not be able to enter an absence until this is done.

To enter an absence on the HISD ATMS please follow the guidelines below:

Call 713-556-7511

Enter the school pin number of 000015

Enter "1" to Report an Absence

You will then enter your EMPID number

The system will then ask for date of absence. ( if you are calling after 3 on any given day, you must listen for the next day’s date or else the system enters you for the current day) You can also enter multiple days for any one job such as a single job for Monday, Tuesday and Wednesday. All absences separated by a day/days must be entered individually.

The next prompt asks about reasons for absence. The following are a list of commonly used prompt numbers to enter: (this eliminates you listening to the long list of reasons)

The system will then prompt you in the use of a sub.

If you have confirmed with a sub that they will cover your class, there is an option to list that particular sub. You must have the subs EMPID number to enter.

You will also be asked whether the sub needs to be called. I always say "the system does not need to contact" IF you have confirmation( otherwise the system tries to call and the sub becomes confused about which job they have accepted. Better not to confuse!)

The rest of the system is very simple.

Finally, YOU MUST RECEIVE A JOB NUMBER or you have not completed the entering of your absence and the system does not acknowledge the call. Your job number is your reference for having entered your absence. Please give this number to Ms. Petty if your job is entered prior to your absence, otherwise, the job number will be retrieved from the system in the morning.

Maintain your job number as you may need to cancel the job at some time.

To cancel a job:

Call the ATMS 713-556-7511

Enter pin # 000015

Press 3

Specify by pressing 1

Enter job number with a *

Press 1 (listen to job)

Press 5 to modify or cancel

Follow the rest of the instructions as a sub may have accepted. This will need to be cancelled also.

If you have not confirmed with a sub:

The system begins calling subs once you have entered the absence. The system stops calling for any particular day at 10:30AM. The earlier you enter, the better chance we have of receiving a sub. ( I always suggest calling before 7:30AM in order to stand a chance at assignment.)

Ms Petty is always available to assist you, during the school day, with entering an absence.
